Moving from Notion Mail to Nolario takes three steps and no mail import, because your messages never left Gmail. Connect the same Gmail account, add the other channels you read, and let Nolario score the last 30 days. What you rebuild is the small stuff Notion Mail kept for you: snippets, label rules and drafts. This guide covers what survived the September 22, 2026 shutdown, the three steps, and what Nolario does not replace.
What survived the shutdown, and what did not
Notion announced the end of Notion Mail on June 25, 2026, and the inbox closed on September 22. TechCrunch quotes Notion saying that all emails in the inbox would stay intact, and Engadget reports that most messages remain in Gmail, which fits how the product worked: it sat on top of your Gmail account. Notion told people to export drafts and scheduled emails, and snippets and auto label instructions, if they wanted to keep them.
| Feature | Where it lives now |
|---|---|
| Sent and received mail | Gmail, untouched |
| Drafts and scheduled emails | Gmail if you migrated them, otherwise gone |
| Snippets | Your export, or gone |
| Auto label instructions | Your export, or gone |
If you already read the full shutdown picture, our ranking of Notion Mail alternatives compares seven tools. This page is narrower: it is the switch to one of them, ours.
Switch in three steps
- Connect the Gmail account you used in Notion Mail. Nothing is copied out of Notion. Nolario reads the mailbox itself, so history and threads are exactly what Gmail shows. Nolario asks for the access it needs when you connect, and message text is scrubbed of names, emails and numbers before an AI model sees it.
- Add the channels Notion Mail never covered. Outlook, any IMAP mailbox, Slack, Microsoft Teams and your calendar go into the same list. This is the reason to switch instead of picking another mail client: see the integrations page for what connects today.
- Let the first import finish, then read from the top. Nolario imports the last 30 days, at most 500 mails, in the background and scores each item for importance. The scored list puts what needs you first. Tell it who your VIPs are and it ranks them higher from then on.
Rebuild the three things Notion Mail did for you
Notion Mail gave you snippets, label rules and an AI drafter. Here is the honest mapping, including where Nolario does it differently on purpose.
| Feature | Notion Mail | In Nolario |
|---|---|---|
| Reusable replies | Snippets | Drafts in your voice, written per message from your sent mail |
| Sorting | Auto label instructions | An importance score on every message, no label rules to write |
| Scope | Gmail | Gmail, Outlook, IMAP, Slack, Teams, calendar |
| Sending | Drafts and scheduled emails | Drafts only: Nolario never sends for you |
If your snippets were fixed text such as an availability reply or a standard decline, keep them in a note or in Gmail's own templates. A draft in your voice replaces the thinking, not the boilerplate.
What Nolario does not do
Nolario is our product, so weigh this guide accordingly. We wrote it for people who lost Notion Mail and also read Slack, Teams or Outlook. For someone who only wants a Gmail client, Nolario is the wrong switch, and our Shortwave comparison is the better read.
The limits are plain. Access is by waitlist, so you cannot sign up today. It is a desktop web app with no mobile app. It ranks and drafts but never sends or answers for you, and it is not a shared team inbox. Notion's own plan was to hand email to agents, and those agents keep running according to TechCrunch. If that suits you, you do not need to switch at all. How the score works is in how an AI decides which emails are important, and the head to head with the workspace is Nolario vs Notion.
