The AI never met Anna. Your reply still sounds like you know her.

Most tools send your mail to an AI model as it is: names, account numbers, the diagnosis in the second paragraph. Nolario is built to run every message through a chain of filters first. Scroll down and watch one mail go through it.

5 of 7 stages run in every AI path today. The other two run in the background jobs so far, and the limits are listed at the end of this page.

Statement_09_Huber.pdf

Hi Thomas, attached is the statement for September. Please transfer €4,380.00 by Oct 15, 2026 to AT61 1904 3002 3457 3201. Because of my knee surgery I won't be reachable for two weeks from Oct 20, 2026, so call me before then on +43 664 1234567. Your portal access code: 482913. Best, Anna

  1. This is how many tools would send this mail to an AI.

Everything in it: the sender, the account number, the access code, the reason she is away. Keep scrolling and the filters take it apart, one stage at a time.

  2. Stage 1 of 7Partly active

    Structure

Strips HTML and tracking pixels, quoted older mails, the signature under the closing line and legal footers. Attachments become their type, without the file name.

The signature with firm, address and mail address and the quoted mail go. The PDF becomes “Attachment: PDF”.

  3. Stage 2 of 7Active

    Secrets

Passwords, one-time codes, login links, IBANs, card numbers and API keys become their type. The value never comes back; the AI never needs it.

The access code becomes [Access code], the IBAN becomes [Account number].

  4. Stage 3 of 7Active

    Identities

Names, mail addresses, phone numbers and firms become a placeholder with a role, the same one throughout a request.

Anna becomes [Person A · your tax advisor · first-name terms], Thomas becomes [you], and her number and mail address become placeholders too.

  5. Stage 4 of 7Active

    Precision

Exact amounts and full dates become a ballpark or a relative day, as coarse as the task allows.

€4,380.00 becomes “approx. €4,400”, Oct 15, 2026 becomes “Thursday, in 8 days”, Oct 20, 2026 becomes “Tuesday, in 13 days”.

  6. Stage 5 of 7Active

    Sensitive topics

Health, faith, politics, private debt and legal disputes become a neutral description, from a fixed list of terms.

The knee surgery becomes [health reason].

  7. Stage 6 of 7Partly active

    Need to know

Each task gets only as much of the message as it needs. Ranking a mail sees its first two sentences, a draft the whole cleaned message.

For a draft the cleaned message stays whole. For ranking, only the first two sentences would go out.

  8. Stage 7 of 7Active

    Exit check

A last, independent scan for mail addresses, account and card numbers and phone numbers before anything leaves. Anything the stages missed is masked.

The scan finds nothing left. Only now does the text go to the model.

What went out, and what came back

The model writes the reply with placeholders. Our server puts the real names, amounts and dates back in. Secrets stay out for good.

01Sent to the AI

Attachment: PDF

Hi [you], attached is the statement for September. Please transfer [Amount A · approx. €4,400] by [Date A · Thursday, in 8 days] to [Account number]. Because of [health reason] I won't be reachable for two weeks from [Date B · Tuesday, in 13 days], so call me before then on [Person A's phone number]. Your portal access code: [Access code]. Best, [Person A · your tax advisor · first-name terms]

02The AI's answer

Hi [Person A], thanks for the statement! I'll transfer [Amount A] by [Date A]. I'll call you before your break. Get well soon, and best wishes

03Your finished draft

Hi Anna, thanks for the statement! I'll transfer €4,380.00 by Oct 15, 2026. I'll call you before your break. Get well soon, and best wishes

Plus two tasks, created without a name, IBAN or diagnosis reaching the AI

  • Transfer €4,380 to Anna, by Oct 15
  • Call Anna, before Oct 20

The AI never met Anna. Your reply still did.

Three rules behind the chain

01

Replace, don't black out

A blacked-out name makes the AI blind. A placeholder with a role keeps it anonymous and still useful: it knows Anna is your tax advisor, not who she is.

02

Real values only on the way back

Names, amounts and dates go back into the answer on our server. Codes and account numbers never do, and a draft is checked for contact details the model made up.

03

Only what the task needs

Sorting your inbox needs far less than writing a reply. Every task gets its own, smallest cut of the message.

What holds today

We would rather mark a stage “partly active” and list the gaps than promise more than the code does.

  • Mailboxes connect with OAuth. We never see your password.
  • You can revoke Nolario's access at any time, from Nolario or from your Google or Microsoft account.
  • Your data is not sold and not used for advertising.

What the chain does not cover yet

  • Structure and need-to-know run only in the background jobs so far (thread summaries, tasks, decisions), not yet in chat, drafts and ranking.
  • Voice: what you say to the voice assistant goes to the speech model as audio, unfiltered.
  • Your own words in the AI chat go as you typed them; mail content pulled into the same request is filtered.
  • The search index of your knowledge base keeps names, so you can find people by meaning.
  • AI providers may keep API data for up to 30 days for abuse monitoring. Zero retention and European endpoints are not in place yet.
